Flexellent Ltd ("Flexellent", "we", "us" or "our") respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains what information we collect when you use the Flexellent website, mobile application and related services (together, the "Service"), why we use it, who may process it and what rights you have.

1. Who is responsible for your information?

The registered office is our statutory company address and is not intended as a general customer correspondence or returns address.

2. Information we collect

Depending on how you use Flexellent, we may collect the following information.

Account and identity information

This may include:

email address;
account identifier;
account creation and sign-in information;
display name and profile image where supplied through Google sign-in; and
authentication and session information.

We do not receive your Google password when you use Google sign-in.

Profile and fitness information

This may include information you choose to provide such as:

age;
gender;
height;
weight;
activity level;
fitness goal;
training experience;
available home exercise equipment; and
whether you normally train at home or in a gym.

Workout and performance information

This may include:

workouts completed;
exercise names;
sets and repetitions;
weights used;
workout duration;
workout dates;
custom activities such as running or cycling;
missed, moved or rescheduled workouts; and
previous exercise information shown to help you remember what you used during an earlier workout.

Schedule and sleep information

If you use these features, we may process:

shift-work patterns;
custom work cycles;
roster anchor dates;
day-shift, night-shift and day-off information;
calendar overrides; and
sleep-duration information you choose to record.

Dietary and allergy information

If you use meal-related features, we may process information you choose to provide concerning:

diet type;
dietary preferences;
food exclusions; and
allergies or intolerances.

Some information concerning health or allergies may constitute special-category personal data under UK data-protection law and receives additional protection.

Quiz information

If you submit the Flexellent planning quiz before registering, we may collect information such as:

email address;
age;
gender;
height and weight;
fitness goal;
activity level; and
information about shift-work or scheduling difficulties.

Simply beginning a quiz does not necessarily mean that all answers have been submitted to us. Information submitted to our servers is handled as described in this Policy.

Device, technical and advertising information

Depending on your platform and privacy choices, this may include:

IP address;
browser and user-agent information;
operating system and device model;
screen or device information;
network information;
advertising identifier on supported Android devices;
ad impressions, interactions and rewarded-ad completion events;
requested URLs; and
diagnostic and error information.

3. How we use your information

We use personal information where necessary to:

create and maintain your account;
authenticate you and keep your account secure;
create and adapt workout plans;
remember your profile and preferences;
schedule and reschedule workouts;
record workouts, sets, repetitions and weights;
provide meal and dietary features;
adapt relevant features using information you choose to provide;
provide temporary Premium or other feature entitlements;
operate rewarded advertising on supported platforms;
deliver exercise videos and images;
send account verification and password-reset emails;
respond to support, privacy and account requests;
diagnose technical problems;
protect the Service against fraud, abuse and security threats;
comply with legal obligations; and
improve and maintain the Service.

4. Our lawful bases

UK data-protection law requires us to have a lawful basis for processing personal information.

Depending on the purpose, we may rely on:

Contract

We process information necessary to provide the Flexellent Service you request, including account creation, authentication, workout planning, scheduling and workout logging.

We may also process information you submit before registration where this is necessary to provide a plan or take steps you have requested before entering into a contract with us.

Legitimate interests

We may process limited information where necessary for our legitimate interests in operating, securing, diagnosing and improving Flexellent, provided those interests are not overridden by your rights and interests.

Examples include security monitoring, fraud prevention, basic technical logging and error diagnosis.

Consent

We rely on consent where the law requires it, including certain advertising or device-storage technologies.

You can withdraw consent where applicable. Withdrawal does not affect processing that was lawful before consent was withdrawn.

Legal obligation

We may process information where necessary to comply with legal, regulatory, accounting or law-enforcement obligations.

5. Health and special-category information

Certain information you voluntarily provide, particularly information concerning allergies, health or health-related circumstances, may be special-category personal data.

Where we process special-category health information on the basis of your choice to use relevant Flexellent features, we will obtain explicit consent where required and process the information only for the specified purpose.

You may withdraw that consent through the relevant controls where available or by contacting us.

Withdrawing consent may mean that a feature requiring that information can no longer operate correctly.

We aim to collect only the information reasonably necessary to provide the relevant feature.

6. Automated workout and meal features

Flexellent uses automated rules and calculations to provide features such as workout scheduling, sleep-related workout adjustments, calorie estimates, meal filtering and workout-plan generation.

These systems currently use deterministic software rules and calculations rather than generative artificial intelligence.

Flexellent does not currently send your profile, workout, sleep, allergy or dietary information to an external AI model for these features.

These automated features are designed to assist with fitness planning and do not make legal or similarly significant decisions about you.

7. Who processes your information?

We use service providers to operate Flexellent.

Lovable Cloud

Lovable Cloud provides database, authentication, storage and related backend infrastructure.

Core Flexellent account and application data is currently hosted primarily using AWS infrastructure in London, United Kingdom.

Google

Google services may be used for:

Google account sign-in; and
Google AdMob advertising on supported Android versions of Flexellent.

Google sign-in may provide us with information such as your email address, display name and profile image.

Flexellent does not receive your Google password.

Google AdMob may process device and advertising identifiers, IP address, device information and advertising interaction information in accordance with your applicable privacy choices.

Cloudflare

Cloudflare provides web delivery, security, edge routing and media delivery services.

When you access Flexellent or request exercise media, Cloudflare may process technical information including your IP address, browser information, requested URL and security information.

Lovable Cloud email services

Account verification and password-reset messages may be delivered using Lovable Cloud's email infrastructure, which requires processing the recipient email address and relevant verification or reset information.

We may change service providers as Flexellent develops. Where this materially changes how your personal information is processed, we will update this Policy as appropriate.

8. Advertising

The Android version of Flexellent may display advertising through Google AdMob.

Free users may also be able to watch rewarded advertisements to receive temporary access to specified features.

Advertising technologies may process information such as advertising identifiers, IP address, device characteristics, impressions, interactions and rewarded-ad completion events.

Where consent is legally required for advertising-related storage or access technologies, we will request that choice before using those technologies.

You will be provided with appropriate controls to manage relevant advertising privacy choices where required.

9. Cookies, local storage and similar technologies

Flexellent uses technologies that store or access information on your device.

These may include local storage, session storage, authentication tokens, security cookies and, on supported Android devices, advertising technologies.

They are used for purposes including:

keeping you signed in;
storing authentication sessions;
remembering your profile and preferences;
storing workout logs and recently entered sets, repetitions and weights;
remembering your theme and haptic-feedback preferences;
supporting offline or faster application behaviour;
remembering temporary Premium or feature-access periods;
completing sign-in redirects;
security, bot protection and DDoS prevention; and
advertising where applicable.

Cloudflare may use security technologies such as __cf_bm and cf_clearance.

Flexellent may use browser local storage for application functionality, including profile, workout, preference and authentication information.

Where storage or access technology requires consent under applicable law, it will not be used for that purpose until the required consent has been obtained.

10. International transfers

Most core Flexellent application data is currently hosted in the United Kingdom.

Some service providers, including Google and Cloudflare, operate global infrastructure and may process information outside the United Kingdom.

Where personal information is transferred internationally, we take steps intended to ensure that the transfer is made in accordance with applicable UK data-protection law.

Depending on the destination and provider, this may include use of UK adequacy regulations or appropriate contractual safeguards such as an approved international data-transfer mechanism.

You may contact us if you would like further information about safeguards relevant to your personal information.

11. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, subject to applicable legal requirements.

Account information

Account identity information is generally retained while your Flexellent account remains active.

When your account is permanently deleted, account information associated with that account is deleted from our active application systems, subject to information we are legally required or permitted to retain.

Profile, workout and schedule information

Profile information, workout logs, set logs, schedules, preferences and associated account information are generally retained while your account exists and are deleted from active application systems when the associated account is permanently deleted.

Submitted quiz information

Information submitted through an unregistered planning quiz may be retained for up to 12 months from submission unless you create an account and the information is otherwise required for the Service, you ask us to delete it earlier, or we are required to retain particular information by law.

Technical and security information

Technical, diagnostic, security and server information is retained for periods appropriate to its purpose and may be subject to the retention practices of the relevant infrastructure provider.

Media-delivery access logs may generally be retained for limited periods for security and operational purposes.

12. Account deletion

Flexellent provides, or intends to provide, an account deletion option within the account/profile area.

Account deletion is permanent.

When an account is deleted, personal information linked to that account in our active application database is deleted in accordance with our retention practices, except where we have a lawful reason or obligation to retain particular information.

Local Flexellent account information and authentication sessions stored on the device will also be cleared as part of the deletion/sign-out process where technically applicable.

You may also request deletion by contacting tom@mywolverhampton.com.

Quiz information submitted before account creation may be stored separately from an account. You can ask us to locate and delete submitted quiz information associated with your email address where we can reasonably identify it.

13. Your data-protection rights

Depending on the circumstances and the lawful basis involved, UK data-protection law may give you rights including:

the right to access personal information we hold about you;
the right to ask us to correct inaccurate information;
the right to request deletion of personal information;
the right to request restriction of processing;
the right to object to certain processing;
the right to data portability in applicable circumstances; and
the right to withdraw consent where processing is based on consent.

These rights are not absolute in every circumstance.

14. Complaints

If you have concerns about how we use your personal information, please contact us first so that we can investigate.

You also have the right to complain to the UK Information Commissioner's Office (ICO), the UK's data-protection supervisory authority.

15. Children and younger users

Flexellent is intended for people aged 16 and over.

If you are under 18, you should use Flexellent only with the knowledge and permission of a parent or legal guardian.

We do not knowingly design the Service for children under 16.

If we become aware that personal information has been collected from someone under 16 contrary to these requirements, we will take appropriate steps to address it.

16. Data security

We use technical and organisational measures intended to protect personal information against unauthorised access, loss, alteration or disclosure.

These include authentication controls, encrypted network connections and access controls provided through our infrastructure.

No online service can guarantee absolute security.

17. Sale of information and AI training

Flexellent does not sell, rent or trade your personal information to data brokers or other third parties.

Flexellent does not currently use your personal information to train or fine-tune generative AI models.

If either of these practices were ever to change, we would assess the legal and privacy implications and update our privacy information before implementing the change where required.

18. Changes to this Privacy Policy

We may update this Privacy Policy when Flexellent changes, when we introduce new service providers or features, or when legal requirements change.

The latest version will be available through the Service and will show its most recent update date.

Where appropriate, we will bring material changes to your attention.
